Paying for software as a company involves more than entering a card number. You need the right subscription and seat count, a payment method the vendor accepts, accurate business billing details, and a way to track renewals. A Coinepay virtual card can be used for online checkout; Coinepay Global Remittance is another option when a vendor has approved invoice billing and provides transfer instructions. The vendor’s checkout or contract determines which route is available.

Before you pay: confirm how the vendor bills your company

Start with the software vendor’s official pricing page, checkout, or signed order. Confirm the product, number of seats, billing interval, payment currency, renewal terms, and who can change or cancel the subscription. Prices and payment options vary by product and region. Have the person responsible for the budget approve the purchase before adding a payment method.

Most purchases follow one of two paths:

  • Self-service checkout: The vendor accepts a card online and may save it for automatic renewal. Use this path when the vendor’s checkout offers card payment for your company’s account.
  • Approved invoice billing: The vendor issues an invoice with payment instructions and terms. Use the method specified on that invoice, if available to your company; do not assume a card charge can replace an invoice transfer.

A purchase order (PO) records internal approval or helps a vendor identify the purchase; it does not itself pay an invoice. Likewise, a receipt issued after a card charge does not mean the account has invoice-billing terms. For example, Google’s monthly-invoicing instructions direct customers to the methods shown on their invoice rather than a credit card. Microsoft makes wire-transfer billing subject to eligibility and approval and says it is unavailable to new customers. Check your own vendor account rather than assuming either arrangement applies.

Prepare the company account and payment details

Gather the legal business name, genuine billing address, tax details requested by the vendor, subscription administrator’s work email, approved seat count, and a budget owner. Ask whether the vendor’s account should be owned by a shared company administrator rather than an individual employee. Keep access to that account under your company’s normal security controls.

To use a Coinepay virtual card, register with Coinepay and complete identity verification before using card services. Coinepay issues a virtual card number, expiry date, and CVV. Check the Coinepay dashboard or mobile app for the information and controls applicable to your account; the app is available on iOS and Android. Card issuance and fund services are provided by licensed partner financial institutions.

Use the company’s real details at the vendor’s checkout. If a vendor specifies eligible card types or issuing locations, check those conditions before purchasing and contact Coinepay support to confirm whether your card meets them. A vendor decides whether to accept any particular payment.

Pay an online subscription with a Coinepay virtual card

  1. Choose the subscription in the vendor account. Sign in through the vendor’s official site, select the product and approved number of seats, and review the billing interval. Watch for trial conversion dates and automatic renewal terms.
  2. Review the order before checkout. Check the currency, taxes shown, billing contact, and whether changing seats or plans later could affect the next charge. Subscription systems may apply prorated charges or credits; a change of billing interval can also cause an immediate charge.
  3. Enter the card details. In the vendor’s card-payment form, enter the Coinepay virtual card number, expiry date, and CVV, along with your real company billing information. Complete any verification requested during checkout. Do not alter your address or location to get around a vendor’s rules.
  4. Confirm the purchase and save evidence. Make sure the vendor shows the correct subscription status. Download the order confirmation and invoice or receipt, and match the charge to your Coinepay transaction record. Record the renewal date, subscription administrator, and cancellation procedure.

For Google Workspace, payment choices can depend on the product, country, and billing account; US bank-account direct debit may be offered under its rules. That option is separate from paying by virtual card. Use the choices actually presented in your company’s billing account rather than trying to follow a payment path intended for another customer.

Pay an approved vendor invoice by transfer

If the software vendor has granted your company invoice billing, first check that the invoice is genuine and that a transfer is an accepted way to settle it. An unexpected renewal invoice or a sudden change in bank details deserves independent verification through the vendor contact information your company already trusts.

  1. Match the invoice to an approved purchase. Check the vendor name, product, service period, seats, amount, currency, due date, and any PO number. Ask the vendor to correct discrepancies before paying.
  2. Follow the invoice instructions. Use the stated recipient and payment details. Include the invoice number or remittance reference in the transfer information so the vendor can identify the payment. Google warns that a payment without invoice details may be applied to older charges.
  3. Review the transfer in Coinepay. Where the recipient and route are available, enter the required details in Coinepay Global Remittance. Review the exchange rate and fees displayed in the app before confirming. Save the transfer record and use its status tracking to follow up.
  4. Reconcile with the vendor. A sent transfer and an invoice marked paid are different records. Keep the transfer confirmation, then check that the vendor has applied it to the correct invoice.

Cross-border transfers are subject to identity verification, sanctions screening, and local regulations. Coinepay may request documents concerning the payment purpose or source of funds. It does not serve sanctioned persons or residents of jurisdictions under comprehensive sanctions. Do not send payment through another person to work around a review or restriction.

Keep renewals, accounting, and tax records under control

Create a simple subscription register with the software name, account administrator, budget owner, seat count, payment method, renewal date, and cancellation steps. Review it when employees join or leave and before an upgrade. Some vendors charge a saved method automatically; others send an invoice for payment. Confirm which arrangement your company has, rather than treating an emailed invoice as proof that an automatic charge will not occur.

Keep the contract or approved order, invoices or receipts, proof of payment, and a record of business use under your company’s retention policy. Match each charge or transfer to the relevant subscription and accounting entry. Separate any personal use from business use, and ask your accountant how to classify the expense and any applicable tax or reporting obligations.

Tax treatment depends on location and the product. For example, an EU business purchasing services from a business in another EU country generally needs to consider the VAT reverse-charge procedure. In the United States, sales- and use-tax treatment can differ by state and by how the software is classified. A vendor bill showing no tax does not, by itself, establish that none is due. Review the supplier’s invoice and seek local tax advice where needed.

Troubleshoot a failed or missing payment

  • Card checkout is declined: Recheck the card details and real billing information, then look for any verification prompt. Confirm the vendor’s current card requirements and your card’s status in Coinepay. If the vendor restricts card types or issuing locations, ask Coinepay support whether your card meets its stated requirements before retrying.
  • The payment method you expected is absent: Check the vendor’s country, product, and billing-account rules. For example, Google Workspace bank direct debit is not a universal checkout option, while Microsoft wire-transfer billing requires eligibility and approval.
  • The invoice still shows unpaid: Check the transfer status, recipient details, and whether you included the invoice reference. Ask the vendor to trace the payment before sending another one.
  • A renewal or changed invoice looks unfamiliar: Compare it with the approved order and subscription register. Confirm any new payment instructions with the vendor through an independently verified channel before paying.

If the issue is with a Coinepay card or transfer record, contact Coinepay support. For plan changes, invoice allocation, refunds, or cancellation, contact the software vendor using its official support channel.

FAQ

Can a company use a Coinepay virtual card for recurring software payments?

You can enter a Coinepay virtual card at an online checkout that offers card payment. Check the vendor’s card requirements, renewal terms, and subscription status in its account.

Can I pay a software invoice with a card instead of a transfer?

Not necessarily. Follow the payment methods on your approved invoice; invoice billing can have different terms from self-service card checkout.

What reference should I include when transferring payment for an invoice?

Include the invoice number or remittance reference specified by the vendor, then confirm that the vendor applies the payment to the correct invoice.

What records should my company keep for a software subscription?

Keep the approved order or contract, invoices or receipts, payment records, renewal and cancellation details, and evidence of business use.
