You can explore Personio without entering a card, but paying for a subscription takes a separate step. This guide explains where a Coinepay virtual card may fit into Personio’s billing process, how to check your agreement before paying, and what to do if a card payment fails.

Check whether your Personio purchase allows card payment

Personio’s base plans are Core and Core Pro, with optional Apps sold separately. Core Pro includes features such as unlimited document storage and e-signatures, workforce planning, and custom API integrations. Personio provides a tailored quote rather than a public numeric subscription price; pricing depends on factors including employee count and selected Apps. Review Personio’s official pricing page and your proposed agreement for the current amount. Its pricing page also describes a company-size-dependent, one-time account-setup fee and a 10% software-services discount for annual subscriptions paid annually upfront.

The billing schedule matters: Personio lists credit card as a payment method for monthly subscriptions, one-off services, and Promote payments, but not annual subscriptions. It lists SEPA direct debit for monthly and annual subscriptions, one-off services, and Promote payments. Bank transfer is listed for monthly and annual subscriptions; a Contract Owner must contact Personio Support to switch to it. Do not choose an annual agreement expecting to pay its subscription invoices by card.

Personio invoices are in EUR, including for customers outside the euro area. Before agreeing to a charge, check the EUR amount in your Personio agreement or invoice and the card details and available funds in your Coinepay app. A listed card-payment option does not establish that Personio will accept a particular virtual card. If card eligibility is important to your purchase, contact Personio about its payment requirements and Coinepay support about your card before committing.

What you need before starting

  • A Personio account or sales agreement. New customers can begin with a 14-day free trial that requires no credit card. The trial ends automatically; it does not turn into a paid charge.
  • A suitable billing schedule and quote. Confirm whether you are buying a monthly subscription, an annual subscription, a one-off service, or Promote payments. Check the quoted plan, Apps, employee count, setup fee, and payment terms.
  • Access to the right Personio settings. Viewing Subscription & Billing requires administrator or Subscription Management view rights. Making changes requires administrator or edit rights. Ask an authorized colleague if you cannot access the relevant controls.
  • A Coinepay account and card. Register with your real identity and complete identity verification before using Coinepay card services. Coinepay issues virtual cards with a card number, expiry date, and CVV, managed in its app and 24/7 self-service dashboard. Check the app for the card’s current details and available funds.
  • Accurate company billing information. Use your real billing details. Personio may prevent a payment-method change if the billing address is incomplete, including a missing State field.

You can register with Coinepay or use its iOS app or Android app. Card issuance and fund services are provided by licensed partner financial institutions. Service availability varies by jurisdiction.

Step by step: start Personio and arrange payment

  1. Start with Personio’s trial or request a quote. Use Personio’s official free-trial or pricing page, enter your real company information, and identify the Core or Core Pro features and optional Apps you need. You can try the product for 14 days without providing a credit card. For a paid subscription, request and review the tailored proposal rather than assuming the trial will automatically become paid.
  2. Review the proposed agreement. Check your employee count, Apps, billing schedule, EUR charges, and any setup fee. Under Personio’s process, a paid agreement may be made by entering plan and contract details in the account with Personio’s confirmation, or by accepting a requested written Order Form. It is not necessarily an instant, self-service card checkout.
  3. Confirm that card payment applies. If you want to use a virtual card for subscription payments, discuss a monthly subscription and the available payment method with Personio before accepting the agreement. For an annual subscription, arrange a supported non-card method instead. Ask Personio if it has any additional card or customer-location requirements relevant to your company.
  4. Complete Coinepay verification and check the card. Once verified, open your Coinepay app or dashboard to find your virtual card number, expiry date, and CVV. Check that sufficient funds are available for the EUR charge shown by Personio. Do not rely on a trial screen as evidence that a later paid invoice will accept the card.
  5. Open Personio billing settings. In your Personio account, go to Settings → Account & support → Subscription & Billing. An administrator or user with edit rights can manage the available billing settings. Complete your genuine company billing address, including the State field where required, before changing a payment method.
  6. Enter the card only when Personio offers it. Follow the payment-method instructions shown in your account for the eligible charge, using the card details displayed by Coinepay and your real billing details. Review the amount and any authentication request before confirming. If the account does not offer a card option for your agreement, ask Personio which supported method to use; do not treat the presence of a card field elsewhere as approval for annual subscription billing.
  7. Check the invoice. Go to Subscription & Billing → Invoices to review issued invoices, credit notes, and payment status. An outstanding invoice may show Pay now; follow the payment options actually presented there. Keep the invoice and your agreement with your business records.

Paying for seats or Apps after subscribing

Eligible existing customers can add seats or Apps from Subscription → Add seats/Upgrade → Summary checkout → Add seats/Upgrade and schedule payment. The summary compares the old and new costs, so review it before confirming. Personio says upgrades take effect immediately and additional costs are prorated. Whether you can use a card for the resulting charge still depends on your agreement and the payment options Personio presents; an upgrade screen is not a promise of virtual-card acceptance.

If you later need to reduce costs, note that Personio limits self-service downgrades to monthly customers with fewer than 50 seats, requires at least 25 seats, and schedules those changes for renewal. Under its general terms, downgrading a plan or removing Apps does not itself entitle you to a prorated refund.

If a Personio card payment does not go through

  • Insufficient available funds: Compare the EUR amount due, including any applicable quoted charges, with the funds available for your card in Coinepay. Check the app or ask Coinepay support about your account before retrying. Avoid repeated attempts without knowing why the first failed.
  • Billing details do not match: Recheck the name and genuine billing address entered in Personio against your actual company billing details. If you cannot change the payment method at all, look for an incomplete address, especially the State field. That settings issue is not, by itself, a card decline.
  • Authentication was not completed: A card payment requiring Strong Customer Authentication may fail when initiated while you are logged out of Personio. Personio says it emails the billing contact an explanation and an authentication link. Ask that contact to check the message and follow its instructions. If you cannot complete a requested card authentication step, contact Coinepay support rather than assuming it succeeded.
  • Billing schedule or merchant requirements: Check that you are not trying to pay an annual subscription by card. If Personio declines the card or does not offer it, ask Personio whether its card or customer-region requirements apply to your purchase. Use your real company location; do not alter billing details to get around a restriction.

In Personio, an invoice marked Not Paid can mean automatic collection failed or the invoice is overdue; the label alone does not identify the reason. Check the invoice and any message sent to your billing contact. For a Personio account, agreement, or invoice question, contact Personio. For a question about your Coinepay card or available funds, contact Coinepay support.

Keep renewals and invoices under review

Personio’s monthly agreements renew unless it receives written notice, including by email, at least 15 days before renewal. For annual agreements, the notice period is at least 90 days before renewal. Check your specific agreement and set an internal reminder well ahead of its renewal date. You can review invoice status and credit notes under Subscription & Billing → Invoices. If an open credit balance remains, Personio says you can contact it to request a payout rather than assuming the credit will automatically return to your card.

FAQ

Can I pay for an annual Personio subscription with a Coinepay virtual card?

Personio does not list credit card as a payment method for annual subscriptions. Ask Personio about its supported SEPA direct debit or bank-transfer options for your agreement.

Do I need a card to start a Personio free trial?

No. Personio’s 14-day free trial does not require a credit card and ends automatically without converting to a paid charge.

Where can I find an unpaid Personio invoice?

In Personio, open Settings → Account & support → Subscription & Billing → Invoices. An outstanding invoice may offer a Pay now action.

Why can’t I change my Personio payment method?

Check that you have administrator or edit rights and that the billing address is complete, including the State field. Also confirm that the payment method is available for your agreement.

What should I do if Personio shows my invoice as Not Paid?

Not Paid can mean an automatic collection failed or the invoice is overdue. Review the invoice and messages to your billing contact, then ask Personio about the payment or Coinepay support about your card.
