Basecamp is a project management and team collaboration tool from 37signals, and its paid plans are billed by card through Basecamp's own checkout. If you want to keep your team spending on one reusable virtual card, you can create a Coinepay virtual card and use it to pay. This guide walks through what you need, how sign-up and billing work in Basecamp 5, and what to check if a payment is declined.

What you need before you start

Basecamp handles its own checkout and sends card details directly to its payment processor, identified in its subprocessor list as Braintree. Before you subscribe, get these ready:

  • A verified Coinepay account. You must register and complete identity verification (KYC) before you can use card services. If you have not done this yet, create your Coinepay account and finish KYC first.
  • An active Coinepay virtual card. Issue one from the dashboard or app; you get the card number, expiry date and CVV instantly. Many businesses issue a dedicated card per tool so each subscription is easy to track.
  • Enough balance on the card to cover the plan plus any applicable sales tax or VAT. 37signals publishes tax rules for US jurisdictions, the EU, UK and Canadian provinces, so the amount charged may be higher than the sticker price.
  • Your real billing details. Use the name and billing address that match your Coinepay account. Do not use fake addresses or try to work around regional checks.

Download the Coinepay app from the App Store or Google Play to manage your card on the go. Note that virtual-asset-related services are not available to residents of mainland China, and some services are not available in every jurisdiction.

Basecamp plans and what gets charged

Basecamp 5 offers several tiers. At the time of writing (October 2026), the public pricing page listed the following in US dollars; always confirm current prices and currency on basecamp.com/pricing before you buy.

PlanPrice (USD)Highlights
Free$0One project, 1 GB storage, up to five users
Freelancer$25/monthUp to three active projects, 5 GB, up to 20 users
Studio$59/monthUp to ten active projects, 25 GB, unlimited users
Pro$99/monthUp to 25 active projects, 100 GB, unlimited users
Unlimited$299/month billed annually ($3,588/year)Unlimited projects and users, 1 TB storage

The pricing page displayed these in US dollars and did not show separate GBP, EUR, CAD or AUD amounts, so the local-currency total in those markets may differ. Prices exclude applicable sales tax or VAT. Check the official pricing page for the figure that applies to your region.

Step by step: sign up and pay

If you are starting a new account

  1. Go to basecamp.com/pricing and choose Free or start a trial of a paid plan. No card is required to sign up for Free or to begin a trial.
  2. Create your account with your real name and email. Freelancer, Studio and Pro trials last 30 days; the Unlimited trial lasts 45 days.
  3. A trial does not automatically turn into a card charge. To keep the account after the trial, you enter card details near the end of the trial. Without payment, a paid account can be frozen.
  4. When prompted, enter your Coinepay virtual card number, expiry date and CVV, and the billing name and address that match your Coinepay profile.
  5. Confirm the charge. If this is an upgrade from Free to a paid plan, it is charged immediately.

If you already have a Basecamp 5 account

  1. Sign in as the account owner on desktop or web. Billing changes are not available in the mobile apps.
  2. Go to Home → Adminland → Handle billing, invoices, packages, and upgrades.
  3. Add or update the card on file with your Coinepay virtual card details.
  4. Choose your plan. Upgrading from Free to paid is charged immediately; for other plan-level upgrades or downgrades, the new rate starts with the next billing cycle.

For the Unlimited edition, Basecamp lists annual payment by check, ACH, wire or credit card; whether those non-card options appear on lower tiers is not confirmed, so a card is the practical choice for Freelancer, Studio and Pro.

If your card is declined

Basecamp's billing guide does not publish specific checkout decline messages, so the most common causes are card- and issuer-side. Work through these before retrying:

Insufficient balance

Make sure the card holds enough to cover the full plan price plus any tax or VAT. A $99 Pro plan, for example, may be billed higher once tax applies. Top up in the Coinepay app and try again.

Billing address mismatch

Braintree checks the billing name and address you enter against the card record. Enter exactly the details registered to your Coinepay card. A mismatch is a frequent cause of silent declines.

3-D Secure or verification prompts

If an extra authentication step appears, approve it through your Coinepay app notifications or confirmations. Complete the step promptly so the authorization does not expire.

Merchant region or card-type checks

Basecamp says it is used in more than 100 countries, but a country-by-country list of where a new paid subscription and a particular payment method will work is not confirmed. Basecamp 5 also does not publish which card brands or types it accepts. If a charge is refused and your balance and details are correct, contact Coinepay support to confirm your card meets Basecamp's requirements before you buy again. Do not use a VPN or false details to get around regional or payment checks.
