Paying an overseas freelancer is more than sending money. You need the right recipient details, a payment method the contractor can use, and records that match the work performed. A payment can be delayed or returned because of a name mismatch, an incorrect account number, a missing payment purpose, or a local requirement. Here is a practical way to prepare and send a contractor payment using Coinepay Global Remittance.

Choose the payment route that fits the arrangement

For a direct payment to a freelancer or contractor, start with Coinepay Global Remittance. Individuals and businesses can use it for cross-border transfers, subject to identity verification, sanctions screening and local regulations. Available payout methods include bank account deposit, mobile wallet and cash pickup. The options you can select for a particular destination are shown as you set up the transfer.

A Coinepay virtual card serves a different purpose: paying at an online checkout that accepts a card. If you hire through a freelance platform that collects payment at checkout, follow that platform’s payment instructions and check whether its checkout offers a suitable card option. Do not try to use card details as a substitute for the contractor’s bank or wallet details when arranging a direct transfer. Merchant acceptance and platform rules can vary.

Before choosing either route, agree with the contractor on who will receive the payment, how they will receive it, and what invoice or work milestone the payment covers. For a platform job, also check whether the platform requires payment to stay on-platform.

Prepare the payment and supporting records

Collect the information before opening the transfer form. This reduces the chance of stopping midway to ask the contractor for a missing detail.

  • Who you are paying: Ask for the recipient’s full legal name, rather than a nickname or screen name. If the payee is a business, use the business name and details required for its receiving account.
  • How they want to receive funds: Confirm whether they can receive a bank deposit, a mobile wallet payment or cash pickup. For a bank deposit, ask the recipient to provide the account details required for their country and bank. For a mobile wallet, confirm the wallet provider and the recipient details registered to it. Do not assume that an email address or phone number alone is sufficient.
  • What you are paying for: Keep the invoice, contract or statement of work, and identify the deliverable or milestone being paid. Agree on the payment amount with the contractor and make sure the invoice names the correct payer and payee.
  • Internal approval: If you are paying for a business, obtain any purchase approval your company requires and record the project or invoice reference. Decide who is authorized to submit the transfer.

Use genuine identity and payment details. Requirements for documenting contractor work, withholding tax or reporting payments differ by location and by the working relationship. Ask a qualified local tax or legal adviser if you are unsure whether a worker should be treated as an independent contractor or what your business must report. Coinepay may request documents relating to the purpose of a transfer or the source of funds.

How to pay a contractor with Coinepay Global Remittance

  1. Sign in and complete any required verification. Open the Coinepay app or self-service dashboard. Follow the identity verification prompts shown for your account. If you are paying on behalf of a business, use the appropriate business account and authorized user.
  2. Start a cross-border transfer. Choose the destination and enter the payment details requested in the app. Check that the destination and recipient are eligible before proceeding; transfers are subject to sanctions screening and local regulations.
  3. Select a payout method. Choose an available bank deposit, mobile wallet or cash pickup option that the contractor has confirmed they can use. Do not select a method merely because it appears convenient to you: the recipient must be able to provide the correct details and complete any collection requirements.
  4. Enter the recipient details carefully. Copy the contractor’s legal name and receiving details from a current, trusted source. For a repeat contractor, confirm that previously saved details are still valid, especially after a bank or phone-number change.
  5. Check the purpose and review the transfer. Describe the payment accurately, using the invoice or contract as your reference where the app allows it. Review the recipient, destination, payout method, amount, displayed exchange rate and fees before confirming. If anything differs from your agreement with the contractor, stop and resolve it first.
  6. Confirm and save the record. Submit the transfer only after the details are correct. Keep the invoice, approval and transfer reference together in your records. Use Coinepay’s status tracking to follow the transfer, and tell the contractor which invoice or milestone the payment relates to without sharing sensitive account credentials.

If you are new to Coinepay, you can register before preparing your first payment. The Coinepay mobile app is available for iOS and Android.

If the freelancer invoices through an online platform

Some contractors work through a marketplace or invoicing service that takes payment through its own checkout. In that case, read the platform’s billing instructions first. If a card payment is offered and appropriate for your arrangement, you can use a Coinepay virtual card’s card number, expiry date and CVV in the checkout fields. Card services require registration and identity verification before use.

Enter your real billing details and review the platform’s invoice, contractor identity and payment terms before submitting. Do not move a platform engagement to a direct transfer if doing so would breach its rules or weaken a dispute or record-keeping process you rely on. If the checkout declines the card, do not assume the contractor has been paid; check the platform’s payment status before trying another method.

Compliance checks are part of the payment

Cross-border contractor payments may be reviewed to meet identity, sanctions and local regulatory requirements. Coinepay screens customers and counterparties against sanctions lists and does not serve sanctioned persons or residents of jurisdictions under comprehensive sanctions. A listed payout option does not override those restrictions.

Provide accurate information if asked about the contractor, the work, or the source and purpose of the funds. An invoice and agreement that describe the actual services can help you answer those questions. Do not route a payment through someone else or change its description to conceal who is being paid. If you discover that an invoice or recipient detail is wrong, correct it through the proper process rather than submitting a knowingly inaccurate transfer.

Troubleshooting a contractor payment

The recipient details do not pass validation

Compare the name and receiving details with what the contractor has on file with their bank or wallet provider. Check for transposed digits, an outdated account or phone number, and a mismatch between an individual’s name and a business account. Ask the contractor to confirm the details through a trusted channel before editing the transfer.

The payout method the contractor wants is not available

Check the options presented for the destination in the app. Ask the contractor whether they can receive through another available method in their own name. If they cannot, contact Coinepay support before sending; do not substitute another person’s account.

The transfer needs more information or has not reached the recipient

Open the transfer’s status in the app and respond to any request for information using accurate documents. Check whether the contractor is looking at the correct receiving account or wallet. If the status remains unclear, give Coinepay support the transfer reference and ask what action is needed. Avoid submitting a duplicate payment while the first one is unresolved.

An online platform reports a card decline

Check the platform’s payment status and the billing details you entered, then follow any instructions displayed at checkout. If the platform states a card-type or country-of-issue requirement, contact Coinepay support to confirm whether your card meets that requirement before you buy. If you and the contractor agree to use a direct transfer instead, first make sure that change complies with the platform’s terms.

FAQ

Can I pay an overseas freelancer directly with Coinepay?

You can set up a cross-border payment through Coinepay Global Remittance, subject to identity verification, sanctions screening and local regulations. Confirm the recipient’s details and available payout method in the app before submitting.

What details should I request from a contractor?

Ask for their full legal name, the receiving details required for their chosen bank, wallet or cash pickup method, and an invoice that identifies the work and payee.

Should I use a virtual card or a remittance transfer?

Use remittance for a direct payment to a contractor. If an online freelance platform collects payment through a card checkout, follow its billing rules and check the available payment options.
