You can enter a Coinepay virtual card when purchasing Zoho Workplace, but the payment still depends on Zoho’s checkout checks and card acceptance. This guide covers choosing a Workplace edition, completing setup and payment, and investigating a declined transaction without changing your real billing or account details.
Before you start
Register for Coinepay and complete identity verification before using its card services. You can manage your card in the Coinepay app or 24/7 self-service dashboard. A virtual card provides a card number, expiry date and CVV; check the app for its current details and available funds before purchasing. Card issuance and fund services are provided by licensed partner financial institutions. If you have not registered, start at Coinepay registration.
You will also need an email address for your Zoho account, a domain you can add and verify for Workplace setup, and the number of people who need licenses. Have your real billing name and address ready. Zoho warns that billing details that do not match the records associated with a card can cause payment failures. Check the card details available to you in Coinepay or ask Coinepay support if you are unsure what billing information to use.
Zoho lists Visa, Mastercard, American Express and PayPal in its Workplace payment FAQ. It also lists NEFT bank transfers and cheque transfers for yearly subscriptions, arranged through sales. These listings do not establish that a particular virtual card will be accepted: payment options can vary by region and by what is enabled at checkout. If Zoho presents a card-network, card-type or issuing-country restriction, contact Coinepay support to confirm your card meets it before you buy.
Choose the right Zoho Workplace edition
Zoho’s published-price Workplace suite editions are Workplace Standard and Workplace Professional. Workplace Enterprise has custom pricing through Zoho sales. Zoho also offers Mix and Match for assigning different Zoho Mail and Workplace plans within one organization. Mail Lite, Mail Premium and Mail Free are Mail offerings, not extra Workplace suite editions, so check the product name carefully when comparing options.
At the time of writing (October 2026), Zoho’s US-dollar listing showed Workplace Standard at US$3 per user per month when billed annually, or US$4 per user per month when billed monthly. Workplace Professional was US$6 or US$7 per user per month, respectively. An annual-billing figure is a monthly per-user rate, not the full annual charge. Local taxes may be additional. Check Zoho’s official Workplace pricing page and your checkout summary for the current price, currency, license count and total applicable to you.
If you want to evaluate the suite first, Zoho lists a 15-day Workplace Professional trial for up to 30 users without payment details. Note the trial end date rather than assuming the account will remain usable without an upgrade: Zoho says an administrator has 30 days after trial end to upgrade before data is scheduled for deletion. Mail Free is available only in select data centers, so do not rely on it as a fallback for Workplace access.
Sign up and pay step by step
- Begin on Zoho Workplace’s official site. Select Get Started, choose a plan and select Sign up. If you choose the trial, review its terms and keep track of when it ends.
- Create your Zoho account. New users provide a name, email address and password. Use your real account information. Follow Zoho’s setup prompts to add and verify your domain; completing domain verification may require access to its DNS settings.
- Open the purchase flow in the Admin Console. After account creation, continue in Zoho Workplace’s Admin Console. Select the licenses your organization needs and any add-ons you intend to purchase. Review whether you selected monthly or annual billing.
- Review the order. Confirm the edition, number of users, billing period, add-ons, taxes where shown and total before proceeding. Plans renew automatically. Zoho says additional licenses on an annual plan are charged proportionately through the organization’s next renewal date.
- Enter your real billing details. Complete the billing information requested by Zoho. On the Zoho Payments page, choose the card option if it is offered for your checkout and enter the Coinepay virtual card number, expiry date and CVV exactly as shown in Coinepay. Use the correct billing address; do not substitute an address from another country to try to change the payment options.
- Complete any payment verification and check the result. If a security challenge appears, follow the instructions shown by the payment flow. Wait for Zoho’s confirmation rather than repeatedly submitting the order. In the Admin Console, check the subscription and payment record to confirm what was purchased.
If your organization already has an account, its administrator can reach billing controls through Admin Console → Subscription → Overview → Manage Subscription. In the subscription store, Your Store Details → Payment Method is where Zoho documents adding, editing or removing cards. Transaction History provides past payments and downloadable invoices. These paths are useful when you need to update a card for a renewal, rather than creating another subscription.
What to check if your card is declined
First, read the message shown at your checkout and check whether an order or payment was recorded before trying again. Zoho Payments documents gateway reasons including “Insufficient Funds,” “Blocked by Risk Settings,” “Declined by Issuer,” “Declined for Processing,” “Network Errors,” and “Option Disabled.” These are documented gateway labels, not a promise that Zoho Workplace will display those exact words. If the cause is unclear, record the time, amount and any visible error for support; do not send your full card number or CVV in a support message.
Insufficient balance or a spending restriction
If you see “Insufficient Funds” or a similar decline, check the funds available for the purchase in Coinepay. Compare them with Zoho’s total at checkout, not just the advertised per-user monthly rate: the number of licenses, billing period, add-ons and applicable taxes can change the amount due. If the balance appears sufficient but the payment is still declined, contact Coinepay support to ask about the transaction. A gateway “Declined by Issuer” reason can have more than one cause, including a limit or a fraud concern; do not assume it means you only need to add funds.
Billing address, CVV or card details do not match
Zoho Payments associates “Blocked by Risk Settings” with checks such as an address, ZIP or CVV mismatch. Compare the information you entered with your actual billing details and the card details shown in Coinepay. Correct typos in the card number, expiry or CVV as well: Zoho documents “Declined for Processing” as a possible result of incorrect card details. If you cannot identify the correct billing information, ask Coinepay support rather than trying invented addresses or ZIP codes.
A 3-D Secure or other verification step fails
If checkout presents a cardholder authentication challenge, complete it using the method offered and return to Zoho’s payment page to see whether the transaction finished. An interrupted, expired or unsuccessful challenge can leave the purchase incomplete. Check for an existing payment record before starting over. If you cannot complete the challenge, contact Coinepay support with the transaction time and the message you saw; Zoho support can help clarify the status of the Workplace order.
Merchant region, network or temporary processing checks
Confirm that your Zoho account, country and billing information reflect your real circumstances. Card availability and payment options can depend on the region and the networks enabled for that checkout. Zoho Payments uses “Option Disabled” for a card network that has not been enabled; its “Network Errors” label can indicate a processing problem. If Zoho states a card-type or issuing-country requirement, ask Coinepay support whether your card meets it before another attempt. If the issue appears temporary, check your order status and ask Zoho support about the checkout error rather than changing your location or billing identity.
Manage renewals and cancellations
Workplace subscriptions renew automatically, so keep the payment method current in Your Store Details → Payment Method and review invoices in Transaction History. To stop renewals, Zoho documents Admin Console → Subscription → Overview → Manage Subscription → Change Plan → Cancel Subscription; follow the prompts and confirm the resulting subscription status. If you need a refund, consult Zoho’s current refund policy and contact its payments team at [email protected]. Cancellation and refund eligibility are separate questions, particularly after a renewal, so check the applicable terms promptly.
