BambooHR is HR software that small and mid-sized businesses use for employee records, onboarding, time tracking and reporting. Unlike a consumer app with a one-click checkout, BambooHR sells its subscription through a quote-and-order-form process, and billing is managed inside your account. This guide explains what you need, how the sign-up and payment flow works, and how to pay with a Coinepay virtual card without tripping a decline.
Before you start: what you need
To pay a business software bill with a Coinepay virtual card, set up the card first so the details are ready at checkout.
- A verified Coinepay account. Register at Coinepay and complete identity verification (KYC). Card services are available only after KYC is approved. You can manage everything from the 24/7 dashboard or the Coinepay app for iOS and Google Play.
- An issued virtual card. Coinepay gives you the card number, expiry date and CVV instantly once the card is created.
- A funded balance. BambooHR bills on a schedule, so keep enough balance to cover the recurring charge. Businesses can also issue a dedicated card and set a custom spending limit for it.
- Your real billing details. Use the genuine name, company and billing address tied to your Coinepay card. Billing-address matching is one of the most common reasons a payment is declined.
Card issuance and fund services are provided by Coinepay's licensed partner institutions. Virtual-asset services are not available to residents of mainland China, and some services are not available in every jurisdiction.
BambooHR plans and pricing
BambooHR's HR subscription tiers are Core, Pro and Elite, in that order. Payroll, benefits administration, time and attendance, and global employment are sold separately as add-ons. Note that BambooHR labels its own Payroll and Benefits Administration add-ons "US employees only" — that limit applies to those add-ons, not to the core HR plans.
At the time of writing (October 2026), BambooHR's US pricing FAQ listed starting prices for companies with more than 25 employees of about $10.25/Core, $17.50/Pro and $25/Elite per employee per month; for 25 or fewer employees it listed flat monthly prices of $250, $425 and $650. UK pricing started around £8.10 per employee per month (or a £200 flat rate for 25 or fewer), and Canadian pricing around CAD $14.40 per employee per month (or a CAD $360 flat rate). These are published starting prices, not a quote for your company, and they change by region and headcount. BambooHR also applies volume discounts automatically and gives registered nonprofits an additional 15% discount. Always confirm the current figure on the official BambooHR pricing page before you commit, because your Order Form determines the services and price you actually pay.
How the sign-up and checkout works
BambooHR's flow differs from a typical self-service checkout, so expect these stages:
- Start a free trial (optional). On the BambooHR sign-up page, the free trial requires no credit card, ends automatically, and is activated through a verification link emailed to you. This lets you evaluate before paying.
- Request a quote. The plan pages offer Get Quote rather than a public pay-now checkout. You tell BambooHR your headcount and the plan or add-ons you want, and they prepare an Order Form specifying services, price, duration, and whether the term is month-to-month or extended.
- Accept the Order Form. Your paid subscription starts when you accept the written or electronic Order Form. The exact payment-entry screens before acceptance can vary, so follow the prompts BambooHR sends you.
- Add your payment method. BambooHR lists credit card or ACH for monthly payments, and wire transfer or check for annual upfront payment. To add a card, an account owner or admin goes to Settings → Account → Billing → Manage Payment Methods, where you can add or edit a method and set the primary one.
Entering your Coinepay card
In Manage Payment Methods, enter your Coinepay virtual card number, expiry date and CVV, then the billing address exactly as it appears in your Coinepay profile. Save it as the primary method if you want BambooHR to charge it automatically. BambooHR says the monthly billing date follows the calendar day on which you signed up, with automatic payment by ACH or credit card — so your card is charged on that recurring date each cycle.
BambooHR's public payment information does not confirm which card networks (Visa, Mastercard, American Express, Discover) or whether debit and prepaid cards are accepted. If you are unsure your Coinepay card meets a requirement, contact Coinepay support to confirm your card details before you buy, rather than assuming it will work.
Troubleshooting a declined card
BambooHR's terms say it will notify you if a card cannot be charged and ask for updated payment information. Specific decline codes are not published, so work through the common causes below.
Insufficient balance
A recurring software charge fails if the Coinepay card has less than the full amount available. Check your balance in the Coinepay app, top up before your BambooHR billing date, and make sure any per-card spending limit you set is higher than the plan price plus any add-ons.
Billing address mismatch
If the address on the BambooHR payment form does not match the one registered to your Coinepay card, the charge can be rejected by the address-verification check. Re-enter the address exactly as it appears in your Coinepay profile, including postal code and country.
3-D Secure or verification prompt
Some charges trigger an extra authentication step. Keep the Coinepay app open and approve any confirmation request promptly; if you miss it, the payment can time out and show as declined. Retry once you have approved it.
Card details entered incorrectly
Double-check the card number, expiry and CVV. A single wrong digit produces a generic decline. Because Coinepay shows these instantly in your dashboard, copy them carefully rather than from memory.
Merchant or region checks
BambooHR reports customers in over 190 countries but reserves the right not to serve particular countries or parties and applies US embargo and restricted-party conditions. If your region or card triggers a check, the cleanest fix is to use your real company billing details and reach out to BambooHR for a quote. Never use a fake address or any tool to disguise your location — that breaks BambooHR's terms and can cost you the account.
If the first payment does not clear
BambooHR's terms allow immediate suspension or termination if the first payment is invalid or does not clear, and for later failed charges it may suspend access if you do not update payment information within 22 days of its notice. Resolve a decline quickly: fix the cause, confirm funds, then re-save the card in Manage Payment Methods.
Managing billing after you subscribe
You can update or switch cards any time under Settings → Account → Billing → Manage Payment Methods. To review your agreement, extended-term customers go to Account → Billing → Extended Term Contract, and month-to-month customers to Account → Legal → BambooHR Terms of Service. Month-to-month subscriptions can be cancelled at any time, effective on the last day of that subscription month, with no refunds for partial months. Extended-term contracts are generally non-cancelable before the term ends, and preventing automatic renewal requires at least 60 days' notice. BambooHR's terms were last updated September 18, 2026, so re-check them before any renewal.
Keep your Coinepay card ready
To avoid interruptions, keep the Coinepay card funded ahead of each billing date, keep its billing address current, and watch for any authentication prompt in the app. If a charge fails and you cannot see why, contact Coinepay support or reach the team on Telegram, and confirm the plan price on the official BambooHR pricing page. You can learn more about Coinepay virtual cards on the Coinepay home page.

FAQ
Does BambooHR have a self-service checkout where I just enter my card?
Not for the initial purchase. BambooHR's plan pages offer a Get Quote option and prepare an Order Form; your subscription begins when you accept it. You add or edit a card under Settings → Account → Billing → Manage Payment Methods.
Will my Coinepay virtual card definitely be accepted by BambooHR?
BambooHR lists credit card or ACH for monthly payments but does not publicly confirm which networks or whether prepaid and debit cards are accepted. Check your card details in the Coinepay app and contact Coinepay support to confirm before you buy.
Why was my card declined at BambooHR checkout?
Common causes are insufficient balance, a billing address that doesn't match your Coinepay profile, a missed 3-D Secure prompt, a mistyped number, or a regional restriction. Fix the cause, confirm funds, then re-save the card.
How much does BambooHR cost?
At the time of writing (October 2026) US starting prices were about $10.25/Core, $17.50/Pro and $25/Elite per employee per month for over 25 employees, with flat rates for 25 or fewer. Prices vary by region and headcount, so confirm on BambooHR's official pricing page.
What happens if my first payment fails?
BambooHR's terms allow immediate suspension or termination if the first payment is invalid or doesn't clear, and later failed charges may lead to suspension if you don't update your payment info within 22 days of its notice. Resolve declines promptly in Manage Payment Methods.
